2. Description of role (short overview/description of the role)
This Individual will directly supervise all front office Personnel and ensures proper completion of all front office duties. Directs and coordinates the activities of the front desk, reservations, guest services, and telephone areas as well as interacting with the guests to ensure that their needs are met timeously and effectively. Managing rates on Protel, and making sure they are programmed correctly to upload to Site minder etc..

3. Minimum requirements as set by your HR guidelines for each post (detailed)

  • Hospitality Qualification (Advantageous)
  • Drivers Licence(Advantageous) Own reliable transport
  • Resides in the Northern Suburbs
  • At least 2 years’ Experience as Front Office/Reservations Manager
  • Must be a South African Citizen with a valid ID doc
  • Must have excellent guest relations and communications skills
  • Must have in-depth knowledge in FOH and Accommodation
  • Must have protel Experience

4. Responsibilities

  • Responding to incoming calls.
  • Respond to all enquiries via phone, email etc.
  • Monitor group reservations daily.
  • Properly access all functions of the reservations system.
  • Check that all billing has been done correctly
  • Check management accounts daily and resolve queries
  • Keep register of debtor’s terms and contracts related to terms
  • Rate Building, Mapping and running specials
  • Follow up on Provisional bookings
  • Manage all front office staff
  • Provide on the job training to front office staff
  • Performance management

Food and Beverage Controller

2. Description of role (short overview/description of the role)
The key focus of the F&B controller is to assist the executive head chef to make sure COS comes in on budget. The individual will perform a combination of following tasks to compile records concerned with ordering, receiving, storing, issuing, and supplies, and equipment: Compiling data from sources, such as contracts, purchase orders, invoices, requisitions, and accounting reports and writes, types, or enters information into computer to maintain inventory, purchasing, or other records. This will be for all departments in the Food and Beverage, Housekeeping and Maintenance.

3. Minimum requirements

  • Grade 12 (Matric)
  • Formal hotel management qualification beneficial
  • Previous stock control or Hotel Food and Beverage Experience essential
  • Fluent in Excel and MS Office/ Easipos /Procure
  • Accounting qualification beneficial
  • 3 to 5 years in a similar position

4. Responsibilities

  • Manage Procure
  • Manage Easypos
  • Produce the necessary reports.
  • Ordering of stock for the whole F&B department including restaurant, bar, banqueting and conferencing.
  • Ensure that the price quoted for stock matches the price on the invoice.
  • Ensure that the quality of stock received is of high standard. Do not accept damaged or expired stock. Return and obtain credit note.
  • Ensure that the person delivering stock ALWAYS signs for returns, shortages or damaged goods.
  • Ensure that all stock received is locked away IMMEDIATELY.
  • Ensure that all stock is correctly rotated when packing the store.
  • Ensure that all stores are kept clean and neatly packed at all times.
  • Process all invoices DAILY.
  • Ensure that all stores are packed correctly and according to the stock list at all times.
  • Assist the HODs in counting stock for the relevant departments.
  • Process all counted stock into procure.
  • Print all necessary documents and reports.
  • Investigate any variances in any of the stores.
  • Count and input stock accurately with zero variances from stock take input to counted Stock
  • Submit report on wastage, staff meals, breakages, shrinkage monthly.
  • Submit Food and Beverage stock counts for cross checking and to Accounts for. reconciliation within 2 days of Stock take being done
  • Reconcile Easypos to Protel daily excluding inclusives.
  • Manage F&B Operating Equipment.
  • Supply all HODs with OE codes from label printer as required.
